No automated decision is made about pricing, certification, interpreter availability or delivery. A project manager reviews the request before confirming the scope.

Plan the scope before files enter production

A reliable translation, interpreting, event or multilingual web project starts with a precise working scope. Identify the material that is actually in scope, the target languages and markets, the required delivery date, the intended audience and any certification, formatting or publication requirements. For document work, separate reference files from files that must be translated. For interpreting, specify dates, time zones, venue or platform, subject matter and expected participant numbers. For events and digital work, identify the systems, suppliers, approval owners and launch dependencies that can affect delivery.

Define approvals and acceptance criteria

Use the planner to record who can answer terminology questions, who approves language, and who gives final release approval. Acceptance criteria should be concrete: required file format, retained layout, terminology list, certified wording, subtitle timing, website implementation, event equipment, or another measurable outcome. When several departments are involved, one named decision path prevents contradictory feedback and repeated rework. If terminology or previous translations already exist, provide them before production begins so they can be assessed and applied consistently.

Prepare a handoff that can be quoted and scheduled accurately

Before requesting a quote, remove duplicate files, identify editable originals where available and flag confidential or time-sensitive material. State whether delivery is needed as an editable file, publication-ready output, certified copy, bilingual layout, web deployment package or event operating plan.
